Product Development Coordinator

A product development coordinator keeps licensed products moving through approval. They log and route every concept, package and sample licensees submit, give or collect feedback, train partners on the brand’s guidelines and approval system, and keep the sample library in order.

They are the brand’s first line of defense. Every licensed product passes through their queue, often several times, before it reaches a shelf.

Where the role sits

The coordinator keeps product development moving.

The coordinator works in product development, the lane that takes a licensed product from first concept to final production sample. They receive submissions from licensees and hand approved products back on to launch.

Receives
From commercial and licensees

The executed agreement and partner details, then every submission.

Owns
The approvals queue

Logging, routing and tracking submissions and samples, and training partners.

THIS ROLE
Hands off
To licensees and commercial

Approvals, feedback and approved samples, with status for commercial.

The risky handoff

Reviewing a product without the deal in view. If the coordinator cannot see which categories, territories and dates the licensee holds, a product outside the rights can get approved.

How success is measured

Few job ads define success for this role. These are the measures Flowhaven recommends.

KPIHow to calculate it

Partner onboardingShare of new licensees trained on guidelines and the approval system before their first submission

Best practices

What great product development coordinators do.

  1. Set expectations at onboarding

Guidelines, timelines and file standards from day one.

  2. Work from one system

    Not inboxes and shared drives.

  3. Keep the deal in view

So every review checks rights as well as design.

  4. Give feedback people can act on

Specific, visual and in one round where possible.

  5. Watch the queue daily

Flag aging items before they hold up a launch.

  6. Log every decision

So the approval history is complete for audits.
