Who does what in a licensing team

Four connected stations on a golden path across a lavender valley, from scattered paperwork to one shared flow

Every licensed product that reaches a fan has passed through at least four sets of hands. Someone set the strategy. Someone signed the deal. Someone approved the design. Someone made sure the royalties came in.

In small programs one person may wear all four hats. In large ones, each is a full team. Either way, the work is the same, and so are the places it gets stuck.

This series takes each role in turn: what it owns, how it is measured, the best practices that work, and the questions worth asking your own team.

Where licensing work gets stuck

The roles are different, but the roadblocks look familiar across all of them. They usually come from the same root cause: each team works in its own tools.

  • Executives lack real time insight and struggle to get teams to adopt new ways of working.
  • Commercial teams chase tasks across tools, run disconnected partner workflows and lack clear sales and product level insight.
  • Creative teams face slow cross team responses, bottlenecks in the approval flow and poor visibility into partnerships.
  • Finance teams wait on late royalty statements, reconcile SKUs by hand and work from outdated data.

The handoffs matter most

A license moves through every role in turn. Each handoff is where time and money leak.

  1. The executive sets which categories, territories and partner types to pursue.
  2. Commercial signs the agreement, with its rights, terms and minimum guarantee.
  3. Creative receives concepts, shares assets and approves products against those rights.
  4. Finance collects royalty reports, checks them against the agreement and invoices.
  5. The data flows back to the executive and commercial teams to guide renewals and the next deals.

When these steps live in email, spreadsheets and separate systems, every handoff means retyping, chasing and guessing. When they live in one place, the next person already has the context they need.

One platform, four roles

Flowhaven is a licensing management platform built on Salesforce. It brings agreements, product approvals, royalties and analytics into one place, so each role sees what it needs and the handoffs happen on their own. Licensees and agents join through a partner portal, so they work in the same flow instead of the same inbox.

The passion for the brand was always there. The goal is to give every role more time for it.
