Licensing teams
Commercial and Partner Management
The commercial team finds, signs and grows the licensees and agents that turn a brand into products. It runs the pipeline from market research to signed deal memo, then manages each partner through the term. Launch marketing is planned here too.
It is the team licensees and agents talk to most, and the one leadership asks when revenue is off plan.

Team setup
Where the team sits
The work is the same in every licensor. Who does it changes with size and business model.
One or two licensing managers who also cover marketing and partner support.
Directors per category or region with licensing managers and executives under them, plus agents in territories the team does not cover.
Account teams that sell and manage licensees on behalf of several client brands.
People
Roles in this team
Each role page covers the duties, individual KPIs, skills and career path. This page covers the team as a whole.
- Licensing agents appointed per territory
- Marketing and promotions manager, often inside this team
Handoffs
How work flows in and out
The strategy, target partner profile and category and territory plan.
Market research and the prospect pipeline
The signed deal memo and rights grid, then the executed grant for onboarding.
- Strategy to execution: Strategy is shared as a document, so nothing downstream can check itself against it, and agents work from a copy that ages.
- Strategy to prospecting: The target licensee profile is written in prose, so prospect fit is judged by feel instead of scored.
- Qualification to conflict check: The double licensing check depends on someone remembering the whole rights position. This handoff has the highest cost of failure.
- Deal memo to agreement: Agreed terms are retyped, and every retyping is a chance for the record and the contract to disagree.
- Approval to retail: The approved product list is the only definition of what may be sold, and it is rarely checked against what is.

KPIs for the commercial and partners team
Flowhaven recommended measures for the team as a whole. Individual KPIs sit on each role page.
| KPI | How to calculate it |
|---|---|
| Signed guarantees against target | Minimum guarantees signed this year, against the annual target |
| Win rate | Share of qualified prospects that reach a signed deal memo |
| Revenue from new categories and territories | Share of royalty revenue from categories or territories opened in the last two years |
| Licensee retention | Share of expiring agreements renewed with the same licensee |
| Conflicts caught before signature | Exclusivity or overlap issues found in due diligence, not after signing |
| Marketing commitments delivered | Partner marketing spend delivered, against what the agreements commit |
AI and the work
How AI is changing this team
Prospect research, pitch preparation and retyping agreed terms shrink. The team gets that time back for negotiation and for the partners that perform.
Today. Through an integration, the team can ask which categories and territories are open for a property, get them ranked by guarantee potential, and have an exclusivity clash raised from an open question, with a person still checking the result.
- Prospect scouting for open white space
- Pitches tailored to each prospect
- A partner engagement coach that spots who needs attention
Flowhaven
How Flowhaven helps the commercial and partners team
- Pipeline, accounts and agreements as one record set on Salesforce, with activities and email sync
- Deal memos with stages, reviewers and attachments, and approval routes set up per customer
- A gap analysis report of open category and territory combinations
- E-signature through DocuSign and similar tools
- Agents work inside the licensor's records as guest users, with views scoped to their territories
- Marketing plan approvals as a workflow
Good to know. Rights are not yet checked against every existing and pending grant in real time, so the double licensing check still needs a person.
“Since adopting Flowhaven, we’ve found so many efficiencies in things we were doing manually.”
