Licensing teams

Royalties and Finance

The royalties team collects and verifies every royalty and guarantee owed, on time, and can prove the number. It checks every licensee statement against the contract and tracks guarantees and overages. It also invoices, collects and builds the forecast leadership plans on.

Underreported sales, missed minimum guarantees and late payments are caught here, or not at all.

Team setup

Where the team sits

The work is the same in every licensor. Who does it changes with size and business model.

Small licensor

One analyst in the finance team, or the licensing lead with a spreadsheet.

Enterprise

A head of licensing finance with royalties, audit and analyst roles, working with external audit firms.

Agency

A commercial finance team that reports royalties and commissions for client brands.

Inside licensing

At some licensors, a licensing finance and operations lead who sits in the licensing or commerce team, not in finance.

People

Roles in this team

Each role page covers the duties, individual KPIs, skills and career path. This page covers the team as a whole.

Roles that work with this team
  • External royalty audit firms
  • Group finance and the ERP team

Handoffs

How work flows in and out

Receives
From contracts, creative and licensees

Financial terms at signature, the approved product list, and licensee statements each period.

Advances and minimum guarantee instalments

Hands off
To leadership, legal and commercial

Validated revenue, audit findings, and each partner's guarantee position before renewal.

Handoffs to watch
  • Agreement to finance: If the financial schedule is not structured here, every royalty check downstream is guesswork.
  • Approval to retail: The approved product list is the only definition of what may be sold, and it is rarely checked against what is.
  • Partner to royalty: Every licensee reports in its own format. This is the largest manual task in the month.
  • Operations to strategy: Performance reaches leadership as a pack assembled by hand, weeks after the period it describes.

Tools and methods

How the work gets done today

  • Spreadsheets to take in and recalculate statements
  • An ERP for invoicing, payments and journals
  • CRM and licensing software for agreements and royalties
  • Email to chase late statements
  • Validation by sampling, and desk or full audits with external firms

Measures

KPIs for the royalties and finance team

Flowhaven recommended measures for the team as a whole. Individual KPIs sit on each role page.

KPIHow to calculate it
Statements on timeShare of expected statements received by the due date
Royalties validated in fullShare of reported royalty value checked against contract terms, not sampled
Days from period close to invoiceAverage days from period end to invoice sent
Audit recovery against targetUnderreported royalties recovered, against the annual target
Guarantee shortfall exposureUnrecouped guarantee value at risk across active agreements
Collection rateShare of invoiced royalties collected, with overdue value
Forecast accuracyForecast against reported royalties per period

AI and the work

How AI is changing this team

Chasing, reshaping and recalculating statements shrink most. The team spends that time on exceptions and partner conversations instead.

Today. Through an integration, the team can ask the portfolio about any agreement's position and get a program health digest with every figure linked to its record.

What we are exploring next
  • Normalizing statements that arrive in each licensee's own format
  • Validating every line against the contract and flagging anomalies
  • Scoring which licensees to audit, and a forecast that explains itself

Flowhaven

How Flowhaven helps the royalties and finance team

  • Portal statements at SKU level with automatic calculation
  • Validation for territory, rate, channel and SKU, and detection of missing periods
  • Automated reminders and chasing of outstanding statements
  • Automatic guarantee recoupment and overage, and instalment invoice requests
  • Multi currency, withholding tax and VAT
  • Analytics of actuals against forecast and guarantee

Good to know. Scheduled invoice runs, an audit program workflow, revenue recognition and royalties owed onward to rights holders are not standard today.

“Flowhaven has reduced the time we spend managing royalties by more than 75%.”
